This position is intended to provide administration services for Information Systems Procurement in Information Systems Department of Coca-Cola Amatil Indonesia. Focus of the IT administration includes IT capital equipment product, product certification, licenses and agreements, capital budget and operation expenses administration.
General responsibilities:
1. Administering the IS capital procurement cycle, including :
Ensuring that all IS capital request are handled properly in timely manner
Ensuring the completion of approval according to the timelines, by doing daily check and follow up to the related approver
Ensuring that approved request are forwarded to the Purchasing Department for further action according to the priority
Ensuring that orders are received in time, by doing follow up to the supplier
Ensuring that all documents are filed properly
2. Administering the IS non capital procurement cycle, including :
Ensuring that all IS non capital request are handled properly in timely manner
Ensuring the completion of approval according to the timelines, by doing daily check and follow up to the related approver
Issued the Purchase Order to the supplier
Ensuring that orders are received in time, by doing follow up to the supplier
Ensuring that all documents are filed properly
3. Administering the regular IS Product Certification process, including :
Assisting IS Managers in the preparation of Product Certification List Update (communicating to the business partners)
Administering regular Product Certification approval
Maintaining IS Product Certification Database
Proactively searching and keep update with the latest IS products and technology according to the given strategy outlined by IS Management
4. Administering the IS agreements, including :
Assisting IS Managers in establishing new IS agreements for maintenance, services and licenses (communicating to the business partners)
Administering the IS agreements approvals
Maintaining IS agreement filing both in electronic and paper formats
5. Administering the IS Vendor Management Database, including :
Maintaining the contracts and licenses in database.
Ensure high quality of IS Vendors with continuously review the performance
Maintaining the complete information of the vendor profile
Preparing the renewal contracts and licenses
6. Negotiating and Managing Service Level Agreement for Information Systems Products, including:
Getting extensive information and knowledge about Information Systems business requirements
Completely interpret and respond to common inquiries or complaint
Capability to present information effectively and persuasively to the end user and business partner
Ability of problem define with collect data from different perspectives and draw conclusion
Ability to understand business environment as a whole that has relation with organization.
7. Ensuring customer satisfaction for requesting IS capital by providing quick responses and advises to all incoming requests
8. Working with National Information Technology Manager to prepare the yearly capital and expenses budget for Information Systems equipment
9. Assisting IS Managers in regular and day to day capital budget and related IS expenses administration
Accountabilities:
1. Developing and maintaining Regular Product Certification List Update for computer equipment.
2. Doing follow up and provide update for IT equipment requests as registered in Capital Expenditure Database.
3. Providing quick responses and advises to all incoming requests for computer equipment within CCAI
4. Preparation of IT licenses and agreements documents and administration.
5. Maintaining communication to vendors and business partners.
